The Mission

The Mærsk Mc-Kinney Møller Center for Zero Carbon Shipping is a global leader in the transition towards sustainable and environmentally responsible shipping practices. Our mission is to drive the development and implementation of innovative solutions to achieve zero carbon shipping, protecting our planet's future while advancing the maritime industry and we are now looking for an Executive Administrative Assistant who can provide excellent support to the Leadership Team.

Our team combines experts from global partner organizations (Secondees) with the permanent staff of the Center, which creates a diverse global organization with more than 30 different nationalities. The Opportunity

As our new Executive Administrative Assistant, you will be part of a team providing high-level administrative support to our Leadership Team, which consists of our CEO and six CXO’s. You will be responsible for ensuring the smooth daily operations and enabling effective decision-making for four of the CXO’s by managing complex calendars, scheduling meetings, coordinating travel arrangements, handling confidential information, and serving as a liaison between the Leadership Team and internal/external stakeholders. You will also proactively anticipate the needs of the Leadership Team, streamline workflows, and act as a trusted partner in achieving organizational goals. You will do this in close collaboration with the EAA of the CEO and with your colleagues in the Center.

In only four years, we have scaled up to a team of 150 colleagues of which 70 are full time employees. As we continue our journey, an efficient, structured, proactive and service-minded Executive Administrative Assistant is essential for ensuring a smooth workday for the Chief Officers.   

Day-to-day Responsibilities

Your day-to-day responsibilities include:

  • Proactive calendar management, juggle sudden changes, and good planning to ensure that the Chief Officers time is spent efficiently  
  • E-mail correspondences with partner organizations and external organizations coordinating meetings and following up, including agenda and content as needed in close collaboration with Employees and Secondees   
  • Coordination of internal meetings ranging from weekly- and monthly meetings with both larger groups and personal meetings
  • Arrange events and seminars for small and large groups (team events, offsites etc.) and assist with Center events
  • Advisory Board Secretary, which includes taking minutes of meetings at our two quarterly advisory board meetings and the ad hoc support to the Head of Partnerships, who is responsible for arranging the meetings.  
  • Plan annual executive meetings with each of our 23 Strategic Partners
  • Everyday practicalities such as being the point of contact for the Chief Officers when they are not in office, welcoming guests in the reception area, ensure guests are cared for, open meetings when needed etc.      

Who are we looking for?

We are looking for an Executive Administrative Assistant who possesses a combination of interpersonal, service-minded skills able to effectively convey information, build relationships, and contribute to the overall success of the Chief Officers, the whole Leadership Team and the Organization. To succeed in this role, you must combine a detailed, structured, solution-oriented, efficient and service-minded approach. Ideally, you recognize yourself in the following description:   

  • Experience as an Executive Assistant to a leadership team/executive management
  • Master a high level of spoken and written English and Danish
  • Super user of MS Office, particularly Outlook, Word, and Power Point
  • Interest in people, culture and the well-being of colleagues and being a reliable, supportive team-player
  • A relevant academic background

The position is full-time and based in our office in Nordhavn in Copenhagen.
